Privacy Policy

The short version
CostPilot stores the receipts you scan so the app can work. We don't sell your data, we don't show ads, and workspaces are isolated from each other. Delete a receipt and it's gone.
What we collect
- Account info — your email, name, and workspace name, used to sign you in and run your account.
- Receipts— the photos you scan and the data extracted from them (vendor, date, amounts, line items), plus anything you type in manually. This is the product; it's stored so you can see it.
- Bank data — none today. If bank-matching features launch, connections will run through a dedicated provider (such as Plaid) and CostPilot will never see or store your bank credentials.
How receipt scanning works
When you scan a receipt, the photo is sent to an AI service (OpenAI) to read its contents, then stored in our database (Supabase) under your workspace. AI providers used for scanning do not train their models on this data under the API terms we use.
Location (mobile app)
The optional “store nudges” feature remembers where you scan receipts so it can remind you when leaving a store. That location map is stored only on your phone — it is never uploaded to our servers. Turn it off any time in the app under More → Reminders.
Who can see your data
Your workspace's data is visible only to members of your workspace, enforced at the database level. We (the operators) can access data only for support and debugging. We never sell personal data or share it with advertisers.
Service providers
CostPilot runs on Vercel (hosting), Supabase (database, authentication, and file storage), OpenAI (receipt reading), and Resend (email). Each receives only what's needed to do its job.
Your controls
Export everything (CSV or PDF) any time from the app. Deleting a receipt permanently removes it and its image. To delete your entire account and workspace, email support@costpilothq.com and we'll complete it within 30 days.
